How to Delegate Scheduling to Atlas by CCing on Emails

CC Atlas on the Email or an Email Thread

• Starting a New Email: Add Atlas to the CC field in a new email when you want help with scheduling.

• Adding Atlas to an Existing Thread: If you’re in an ongoing conversation and realize it’s time to set a meeting, simply add Atlas to the CC.

This prompts Atlas to step in and coordinate the timing with the other parties. From now on out, you don't need to be involved in the process.

Loop in Atlas as Your Assistant

• You don’t need to use an exact phrase, but here are a few options to let the other person know Atlas will handle the scheduling:

“I’ll bring in my assistant, Atlas, to coordinate a time for us.”

“Atlas, my assistant, will help us find a time to meet.”

“I’ll add Atlas, who can help us schedule a convenient time.”

• These are just examples—you can phrase it however feels natural, so long as the other person knows that Atlas will take over the scheduling.

Specify Any Details or Preferences

• Mention any relevant details that haven't yet been mentioned in the email thread, such as:

“Let's find something on Monday” or “let's get something on the books for next week?” so Atlas knows you intend for a specific time frame or preference for this meeting. You should also indicate if you need more time than the standard 30-minute slot. You should say something like "we'll need an hour."

• Atlas will use this information to find the best time for everyone.

Let Atlas Handle the Scheduling

• After CCing Atlas, you can step back. Atlas will check your availability, handle the communication and emailing back and forth with attendees, and confirm a time that works.



Optional Features for Enhanced Scheduling Control

1. Get Notified About Scheduling Requests

• You can enable a notification feature that alerts you whenever there’s a new scheduling request and allows you to mark the meeting as high priority which tells Atlas to add buffer time before and after it, based on the specific amount of time you've specified in your settings. This ensures you have prep time beforehand and, even if the meeting runs long, you won’t be late to your next commitment. It’s helpful for important meetings where extra time and punctuality are essential.

  • To turn on this feature, go to your settings, under notifications, check "Email Scheduling Notifications. Whether to send an app notification when a request to schedule a meeting via email is received."
  • Be sure you have the specified amount of time needed for a buffer for high-priority meetings, this is located in your settings.

2. Mark Meetings as High Priority

• In the desktop app menu bar, there’s an option to mark specific meetings as “High Priority.”

• When a meeting is set to High Priority:

• Atlas will consider any buffer times or custom preferences you’ve set, making sure it accommodates those when scheduling.

• This feature is especially useful for important meetings where you want to ensure plenty of preparation time.

Enabling notifications and marking priority meetings gives you greater flexibility and control over how your schedule is managed by Atlas.
